Privacy Policy

1. What data we collect

When you create an account, we collect your name, email address, and a username.

When you complete a scenario, we store your responses, scores, and completion record, so we can generate your CPD transcript and award badges.

When you add a project to the Network, we store the project details and your description of your role and involvement.

When another user confirms your involvement in a shared project, we store that confirmation, linked to both accounts.

When you invite someone to a project, we generate a single-use invite link; we do not collect the invited person's contact details unless you choose to share the link with them yourself.

If you correspond with us by email, we retain that correspondence.

We do not collect payment card data directly (payments, once introduced, will be processed by a third-party provider). We do not use cookies for tracking or advertising purposes.

2. Other users may add information about you

If a colleague adds a project to the Network and lists you as a team member, your name and role on that project may become visible to other users, even before you have an account or confirmed the entry yourself, as this is fundamental to how the Network's project records work. If you believe information has been added about you incorrectly, you can request its removal by contacting hello@akobuild.com.

3. How we use your data

We use your information to provide the scenario training and Network features you sign up for, generate your CPD records, badges, and transcripts, enable peer verification of project involvement, and communicate with you about your account.

We do not sell your data to third parties. We do not use your data for marketing purposes without your consent.

4. Data storage

Your data is stored securely using Supabase, a cloud database provider, with data held within the European Economic Area. Supabase's privacy and security practices are available at supabase.com.

Emails are sent via Resend. We email you about account activity that needs your attention — project invites and colleagues asking for your confirmation — and every email has an unsubscribe link; you can also switch these off under Edit profile. Resend's privacy policy is available at resend.com.

The platform is hosted on Railway. Railway's privacy policy is available at railway.com/legal/privacy.

5. How long we keep your data

We retain your account data for as long as your account is active. If you delete your account, we will remove your personal data within 30 days, except where we are required to retain certain records by law, or where your data forms part of another user's project record that they are entitled to keep (for example, if you confirmed a colleague's project membership, a record of that confirmation may be retained even if your own account is later deleted).

6. Your rights

Under UK GDPR you have the right to access the personal data we hold about you, correct any inaccurate data, request deletion of your data in certain circumstances, object to processing of your data, and request restriction of processing in certain circumstances.

7. Third party services

Akobuild uses the following third-party services, which may process personal data:

• Supabase — database and authentication. supabase.com/privacy
• Resend — transactional email. resend.com/privacy
• Railway — application hosting. railway.com/legal/privacy
• Claude API by Anthropic— powers the Ako AI mentor within scenarios. Anthropic's privacy policy is available at anthropic.com/privacy. Your responses within scenarios are stored by Akobuild as part of your scenario record, so that your completed transcript and CPD record can be generated.

8. Changes to this policy

We may update this policy from time to time. Material changes will be notified within the platform or by email where appropriate.
